Terms & Conditions of Membership and Class Bookings

Effective Date: 18/08/2025

By purchasing a membership, booking a class, or using the facilities at Sanctus Gym and/or HALO Studio (“Sanctus”), you agree to be bound by these Terms and Conditions. Please read them carefully before proceeding.


1. Definitions

1.1 “Sanctus” refers to Sanctus Gym and HALO Studio.
1.2 “Member” refers to any individual holding a membership or using the Facilities.
1.3 “Facilities” refers to all gym areas, studio spaces, equipment, classes, and services provided by Sanctus.
1.4 “Written notice” refers to communication submitted via email to info@sanctusgym.co.uk only.


2. HALO Studio – Booking & Access Policy

2.1 HALO Studio classes are limited to a maximum of 10 participants per class.
2.2 All HALO Studio classes must be booked in advance using the designated booking system.
2.3 Access to HALO Studio classes is subject to availability and is not guaranteed.
2.4 HALO Studio bookings operate independently from Sanctus Gym classes and are non-transferable.


3. Booking Windows

3.1 HALO Stand-Alone members may book classes up to 7 days in advance.
3.2 Gold and Platinum members with an active HALO add-on may book classes up to 5 days in advance.
3.3 Pay-As-You-Go (PAYG) users may book classes within 24 hours of the class start time, subject to availability.


4. Booking Limits

4.1 HALO Stand-Alone members may hold a maximum of 3 active class bookings at any one time.
4.2 Gold and Platinum members with a HALO add-on may hold a maximum of 2 active class bookings at any one time.


5. Attendance, Cancellations & No-Shows

5.1 Cancellations made within 6 hours of a scheduled class start time will be treated as late cancellations.
5.2 Failure to attend a booked class without cancellation will be recorded as a no-show.
5.3 Late cancellations or no-shows may result in booking restrictions, including temporary suspension of booking privileges.
5.4 Repeated late cancellations or no-shows may result in further restrictions at the discretion of Sanctus.

Important:
HALO add-on memberships provide eligibility to book HALO Studio classes but do not guarantee access to specific sessions.


6. Membership Terms

6.1 All memberships are subject to a minimum commitment period of 3 months.
6.2 Membership fees are payable monthly in advance and are non-refundable, except where required by law.
6.3 After the initial minimum term, memberships continue on a rolling monthly basis unless cancelled in accordance with Section 11.
6.4 Missed sessions, unused time, or unused facilities cannot be refunded or credited.


7. Payment & Pricing

7.1 Payments must be made using approved payment methods, including direct debit or card payment.
7.2 Sanctus reserves the right to amend membership fees or pricing structures by providing at least 30 days’ notice.
7.3 Specialised classes, including Strongman, Olympic Weightlifting, and Hybrid training, are charged separately on a PAYG basis and are not included in standard memberships.


8. Health & Safety

8.1 Members confirm they are medically fit to participate in physical activity.
8.2 Members must disclose any medical conditions, injuries, or limitations to a coach prior to participation.
8.3 Members agree to comply with all safety instructions, gym rules, and coach guidance at all times.
8.4 Sanctus reserves the right to refuse or revoke access where continued participation may pose a health or safety risk.


9. Conduct, Cleanliness & Use of Facilities

9.1 Members must behave respectfully towards staff, coaches, and other members at all times.
9.2 Aggressive, abusive, threatening, or inappropriate behaviour may result in immediate suspension or permanent ban.

9.3 Members are responsible for maintaining a clean and safe training environment, including but not limited to:

  • Returning all weights, bars, plates, and equipment to their designated storage areas after use

  • Cleaning equipment after use using the cleaning materials provided

  • Disposing of rubbish appropriately

  • Leaving training areas in a safe and tidy condition

9.4 Failure to follow cleanliness or equipment return standards may result in warnings, restricted access, or suspension.


10. Suspension, Bans & Access Removal

10.1 Sanctus reserves the right to suspend or permanently ban any Member for breach of these Terms, misconduct, or behaviour that compromises safety or the gym environment.

10.2 Where a Member is suspended or banned, standard membership cancellation terms shall continue to apply.

10.3 Suspension or permanent removal of access, regardless of duration, does not remove the Member’s obligation to comply with minimum terms, notice periods, or payment requirements.


11. Cancellation & Membership Freezing

11.1 Memberships cannot be cancelled during the initial 3-month minimum term, except where required by law.
11.2 After the minimum term, memberships may be cancelled with at least 30 days’ written notice.
11.3 Memberships may be frozen for genuine medical or exceptional circumstances, subject to approval.
11.4 Freeze periods are limited to a maximum of 2 months per calendar year.


12. Classes & Attendance

12.1 Class sizes are limited and subject to availability.
12.2 Sanctus reserves the right to refuse entry to late arrivals where participation may compromise safety.
12.3 Classes delivered by freelance coaches are charged separately and are not included in standard memberships.


13. Liability & Insurance

13.1 Participation in all activities is at the Member’s own risk.
13.2 Sanctus does not exclude liability for death or personal injury caused by negligence.
13.3 Subject to the above, Sanctus accepts no responsibility for loss, damage, or injury sustained while using the Facilities.
13.4 Members are advised to maintain appropriate personal insurance.


14. Personal Belongings & Valuables

14.1 Sanctus accepts no responsibility for the loss, theft, or damage of personal belongings brought onto the premises.
14.2 Members are strongly advised not to leave personal items or valuables unattended.
14.3 Any personal property left at Sanctus is done so entirely at the Member’s own risk.


15. Photography & Media

15.1 Sanctus may capture photographs or video recordings for marketing and promotional purposes, including online and social media platforms.
15.2 Members who do not wish to appear in such media must notify staff prior to participation.


16. Cooling-Off Period

16.1 In accordance with the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, Members are entitled to a 14-day cooling-off period from the date of sign-up.
16.2 Cancellation during this period is permitted only where no Facilities, classes, or services have been used.
16.3 The cooling-off period is waived immediately upon first use of any Facilities or services.
16.4 By using the Facilities during the cooling-off period, the Member expressly requests immediate commencement of services and forfeits the right to cancel under this provision.
16.5 No refund will be issued once Facilities or services have been used.


17. Changes to Terms & Conditions

17.1 Sanctus reserves the right to amend these Terms and Conditions at any time.
17.2 Members will be notified of material changes via email or in-gym notice.


18. Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

19.2 Sanctus is not responsible for notices or requests communicated via social media, verbal discussions, or third-party platforms.
